The company headquarters are located in Münster, Germany. You are responsible for Lead the branch’s day-to-day operations and administration to ensure smooth and efficient business processes. Manage financial processes including invoices, payroll, expense and mileage approvals, commissions, reconciliations, and year-end accounting. Support compliance requirements by coordinating tax filings, insurance renewals, and corporate reporting obligations. Oversee recurring contracts and vendor relationships, including renewals, payments, and ongoing service coordination. Coordinate operational activities such as inventory control, stock movements, facility-related needs, and internal priorities. Track sales numbers, support pricing strategy, manage customer reminders and follow-ups, and contribute to revenue performance. Prepare monthly statistics, dashboards, and reports for senior management and branch meetings. Lead or support sales meetings, marketing meetings, and other cross-functional planning activities. Recruit and onboard new employees, including co-op hires, and support employee development through regular 1:1 meetings and team meetings. Manage benefits reviews, support salary discussions, and contribute to target-setting and performance discussions. Handle recurring administrative payments and contract-related tasks such as transfers, cheque deposits, and corporate service agreements. Your profile Experience in office management, branch administration, operations, or a comparable business support role. Strong understanding of financial administration, including payroll, invoicing, reconciliations, and reporting. Experience coordinating compliance-related processes such as tax, insurance, and corporate administrative requirements. Ability to manage multiple recurring deadlines across daily, weekly, monthly, quarterly, and annual business cycles. Strong communication and organizational skills with a high level of attention to detail. Ability to work independently, prioritize responsibilities, and support multiple stakeholders across the business. Professional experience in team coordination, hiring, onboarding, or employee support is considered a strong asset. Customer-focused mindset with the ability to manage follow-ups, internal coordination, and commercial administration. Fluency in English is required. Additional languages are an asset. Your competencies Proficiency in Microsoft Office, especially Excel, Word, and Outlook. Experience with ERP systems and performance reporting. Strong analytical skills with the ability to prepare statistics, dashboards, and management reports. Sound judgment and decision-making ability. Adaptable, resourceful, and able to work well under pressure. Strong interpersonal skills and the ability to work effectively with customers, vendors, management, and team members. Confidence in handling sensitive information with professionalism and discretion.
