As Executive Assistant, you’ll provide a range of administrative and office support to senior executives while helping create a smooth, organized, and professional experience for the teams you support. The work you do will impact beauty by keeping priorities moving, supporting day-to-day operations, and helping leaders stay focused on what matters most. You’ll be part of a collaborative team that’s united in beauty and equally passionate about service, discretion, and operational excellence. What You’ll Do:
Manage daily calendars, including meetings, appointments, and travel arrangements for Executive Leader(s), including local, national, and international travel when applicable Manage expenses and submit expense reports for Executive Leader(s) in a timely manner Support office management to ensure a clean, organized, and professional working environment for your department’s area Be present in office a minimum of 3 to 4 days a week to ensure office standards are maintained Provide coverage and support for the Office Manager/Receptionist when they are absent Collaborate with the Senior Executive Assistant on scheduling to ensure there is adequate office support each day Support set-up and tear-down for department events and larger company events such as Town Halls, social events, holiday parties, annual conferences, and other key moments Support shipping, receiving, storage, and gratis/product distribution for your team Provide a high level of administrative support, ensuring quality service and professionalism in every interaction Handle confidential and urgent departmental matters with discretion and sound judgement Manage priorities efficiently in a multi-tasked environment and ensure deadlines are met Act as a liaison with internal and external partners at all levels of the organization Use professional judgement to screen, prioritize, and determine actions for incoming calls and inquiries Organize data, update reports and presentation materials, and support team events, meetings, and trainings Collect and track data, research information, sort and distribute mail, balance and process expense reports, schedule and organize meetings, and complete other administrative assignments as required
What You’ll Bring:
You have 5+ years of executive assistant experience You have strong organizational and multitasking skills, with the ability to manage competing priorities in a fast-paced environment You have a high degree of initiative and can work independently while collaborating effectively with a team You have the discretion and professionalism needed to handle sensitive and confidential matters You are proficient in Microsoft applications, including Word, Excel, PowerPoint, and Outlook You are a resourceful and creative problem solver with strong attention to detail and a high level of accuracy You have strong interpersonal and communication skills and bring a professional, discreet, personable, and client service driven approach You are flexible with hours and available to work overtime when required
