Position Description

POSITION SUMMARY:
The Project Manager role will ensure the specific aims and milestones of the OnSPARK Project are achieved. Duties include: overall administrative organization for OnSPARK; coordination and support of cross-functional teams; preparation of workplans, reports, policies and documentation; key stakeholders and network management; liaising with technical, analytical and data teams to determine the critical path; ensure deliverables are met on time and on budget; and, lead the reporting, tracking and evaluation to our funder and stakeholders. The main deliverable is building and developing the OnSPARK portal, which requires knowledge of technology product development and AI agents.

QUALIFICATIONS:

  • Undergraduate Degree required
  • Certification in Project Management preferred
  • Experience 5 to 10 years practical and related experience in project management.
  • Preference for experience in project management, related to technology product development and implementation
  • Experienced creating, managing and organizing documentation, such as policies, workplans and briefing notes
  • Knowledge of privacy and compliance legislation and best practice in Ontario, for example PHIPPA, use of AI,
  • Strong oral and verbal communication skills, able to deliver messages with tact and diplomacy
  • An asset is knowledge of long-term care sector and/or healthcare
  • Experience coordinating across multiple teams without direct supervision to achieve goals
  • Coordinate aspects of portal /liaison with team members to build and enhance portal
  • Ensure privacy and compliance requirements met
  • Responsible for managing budget and expenses
  • Provide administrative support to portal team
  • Provides functional supervision
  • Provides technical & procedure guidance
  • Provides orientation
  • Acts as a resource and role model
  • Provides on-going coaching
  • Prioritizes and monitors work
  • Delegate assignments
  • Coordinates staff workloads/schedules

  • Identifies/resolves complaints, conflicts, concerns and problems

RESPONSIBILITIES:

  • Prepares, coordinates and maintains all workplans, reports, policies and documentation for the OnSPARK portal to ensure deliverables to the funder (Ministry of Long-Term Care) are met on-time and budget.
  • Proactively coordinate and support cross-functional teams to ensure deadlines are met
  • Lead all reporting, tracking and evaluation to funder and key stakeholders
  • Coordinates, organizes and executes meetings, agendas and action items ensuring timelines are met
  • Prioritize OnSPARK portal development tasks and assign to AI agents
  • Oversees quality assurance testing, ensuring portal is functioning
  • Manages the development, implementation, evaluation of the portal which are in alignment with established SJHH standards, privacy, and compliance requirements
  • Develops action plans to address identified issues.
  • Writes and maintains standard operating procedures, protocols, etc.
  • Provides clear, professional communication across teams ensuring deadlines are met and work is progressing as per critical path.
  • Provides coaching and mentorship to team members, promoting a teamwork environment where staff can interact productively and efficiently.
  • Coordinates hiring, orientation and training of new staff members.
  • Ensures OnSPARK staff training is up to date and Health & Safety compliance is maintained
  • Prioritizing and monitoring staff work
  • Manages the OnSPARK portal project financial resources, specifically tracking expenses and documentation
