Rate of Pay: Payband I (Start Rate: $40.39 per hour, plus 8% in lieu of vacation and benefits)

The International Enrolment Coordinator plays a critical role in ensuring international enrolment processes are streamlined, data-informed, and provide a high-quality experience for applicants, students, and system users.

Working closely with International Recruitment, Operations, Student Services, and Admissions, the Coordinator manages the international applicant funnel with precision, using data and system tools to improve conversion and support institutional goals. The incumbent coordinates the many inputs, variables, outputs, and actions required for the college to plan efficiently and achieve targets set for new and returning students. It requires a high degree of analytical thinking and problem-solving, with the incumbent serving as a subject matter expert in international enrolment, possessing in-depth knowledge of internal processes, student information systems, college policies, and external government regulations.

The incumbent must demonstrate technical proficiency in managing and interpreting large data sets, utilizing enrolment platforms, and producing actionable insights. A key responsibility is maintaining up-to-date awareness of federal and provincial immigration policies, IRCC study permit processes, PGWP eligibility criteria, and other regulatory factors that influence international student mobility, timelines, and program selection. The incumbent works closely with International Department leadership to analyze and explain data trends, risks, and opportunities. The role also contributes to process documentation, system enhancement projects, and continuous improvement initiatives pertaining to international enrolment.

What you’ll be doing:

Applicant Funnel and Seat Management

  • Develops forecasts and seat allocations for internal students, such as program change requests, compulsory withdrawal status re-starts, future program status applications.
  • Uses advanced Excel tools, including Power Query, pivot tables, dynamic dashboards, and linked data sources (CSV, cloud-based reports, API feeds) to maintain real-time tracking and forecasting models. Builds data tools that support funnel segmentation, intake modeling, and seat management workflows.
  • Coordinates international enrolment management team meetings, including scheduling, agendas, notes, and tracking action items.
  • Uses data visualization tools (e.g., Power BI, Tableau, or Excel-based) to convey key insights to leadership and teams, enabling evidence-based decision-making at each stage of the enrolment cycle.

Reporting

  • Collaboratively develops interactive dashboards for department and college-wide stakeholder and responding to ad hoc report requests from leadership that translate complex data sets into meaningful insights.
  • Provides regular updates to International Department leadership on enrolment trends, funnel performance, emerging risks, and program-level variances.
  • Develops conversion reports for recruitment team on applications, final results, and funnel processes.
  • Utilizes a variety of technical tools including Excel (advanced functions), Power BI, institutional SIS/CRM systems, and cloud-based reporting platforms to extract, clean, model, and visualize data.

Process and System Enhancements

  • Identifies and puts forth ideas, options, and alternatives for operational process efficiencies in a spirit of continuous improvement.
  • Designs and tests new workflows, templates, and tracking tools, leveraging advanced Excel skills and data integration techniques (e.g., file linking, data validation, Power Query) to enhance accuracy and minimize manual intervention.
  • Participating in projects and system implementations as they connect to, and relate to, international applicant funnel and student enrolment.

What you’ll bring to the role:

  • 3-year diploma or degree in Business, Data Science, or Information Technology.
  • 3 years of experience in higher education, with demonstrated responsibility for managing, analyzing, and maintaining large volumes of complex data, such as student records, applications, enrolment data, or financial information, across multiple systems and platforms.
  • Strong knowledge of Canadian immigration policies and procedures that impact international student enrolment.
  • Advanced proficiency with technical tools and systems used for enrolment and admissions operations, including but not limited to: Excel (advanced formulas, Power Query, linked files), application management systems, iCent, Banner, CRM systems (e.g., Salesforce), and data visualization platforms (e.g., Power BI or Tableau).
  • Demonstrated ability to create, maintain, and optimize reporting dashboards and process tools to support evidence-based planning and operational efficiency.
  • Demonstrated commitment and understanding of human rights, equity, diversity, inclusion, and accessibility.The ability to communicate and work effectively with diverse students, employees, and communities.
