Reporting to the Leader, Executive Operations, the Information Management and Business Unit Records Administrator (BURC) will audit the current information management & records management program in the Chief Administrators Office (CAO), inclusive of physical and electronic information. The BURC will drive the development of a cyclical effective, and compliant records management program. Primary Duties include:

  • Office onboarding, familiarization with corporate programs/training, working with supervisor to develop expectations for project delivery and milestones.
  • Risk assessments, documentation review, data collection, testing controls, meeting with key partners,
  • Report writing outlining findings with accompanying recommendations aligned to corporate standards. This work will require the ability to interpret policies, standards and legislation for compliance.
  • In alignment with corporate standards/policies develop a program for the CAO office, which provides for: file management integration with new divisions (3), phased retention schedules, shared drive file tree reorganization and clean up, TRIM events, One-Drives, SharePoint & Teams file sites, and physical and electronic dispositions programs. Inclusive of developing customized guides/training sheets aligned with corporate standards along with a transition plan.
  • Working with key partners corporately and within the office, start to initiate elements of the plan, based on the developed phased processes. Work with CAO staff to transition the work accordingly.

Qualifications

  • A completed 2-year diploma in Business, Office Administration or a related field (records management) and at least 5 years progressively senior administrative experience.
  • Experience using and designing libraries in Content Server/Physical Objects is an asset.
  • Training on the Access to Information Act (ATIA) and Protection of Privacy Act (POPA) are assets.
  • Experience and knowledge using SharePoint Online and Microsoft Teams are assets.
  • Knowledge or experience in Windows Server Administration, such as folder tree design and Network Drive document and folder management, as well as using Livelink/iRIMS/Content Management systems is an asset.
  • This position requires strong interpersonal skills to encourage compliance and collaborate with staff, leaders, and corporate partners.
  • Success in this position requires maintaining accuracy with sensitive information, communicating complex concepts clearly, multitasking effectively, working independently, and applying strong critical-thinking and problem-solving skills.

  • This position may be eligible to work from home for at least part of the time as one of several flexible work options available to City employees.
