The International Centre Office Assistant is primarily responsible for assisting and supporting the International Centre (IC) team drive and bring focus to operational excellence, ensuring the IC's (and by extension SAIT's) systems, processes and functions are on par or exceed SAIT's PSI competitors.
The incumbent is responsible for a range of administrative tasks, such as (but not limited to) greeting (face-to-face and virtually) international learners and visitors to the Centre, managing IC email inboxes and triaging where appropriate. The incumbent also provides general office support with various clerical activities and related tasks, including external partnership assistance-related tasks.
The incumbent is expected to have excellent organizational skills, outstanding verbal and written abilities, exceptional interpersonal skills, and cross-cultural awareness. This position requires the ability to function in a team environment while having a high degree of self-direction.
The International Centre Office Assistant will act as a reference point, providing students, their families and high school counselors with support, guidance, information, and impartial advice from the student's perspective. The post holder will work collaboratively with the Centre on various initiatives involving current and prospective students.
Note: This is a contract position of 6 months with the possibility of up to two (2) extensions.
How You'll Contribute
Administrative & Information Management
Respond to enquiries from current and potential learners in person, by email or phone and triage responsibility to the appropriate International staff when required. This requires the incumbent to maintain an in-depth, up-to-date understanding of SAIT programs
Supports with Fresh Desk triaging and responding to basic/common inquiries
Support with refund escalation emails
Support with IC EOS Newsletter, website updates, and email template organization
Enter FOIP forms into Banner and save in appropriate location – Maximizer for agented students (for commission purposes) and file in O Drive for personal FOIP forms
Enter application information, credit information, agent information in Maximizer
International Marketing
Supports IC with social media strategy through competitive research, platform determination, messaging, and audience identification
Support with marketing strategies that are proactive and/or responsive to international environments
Support the IC with promotion and advertising (Create and design digital, print and broadcast advertising)
Analyze and recommend appropriate forms of advertising
Recruitment and Student Support
Engages prospective students, parents and high school counsellors (via email, social media, webinar etc.) to inform and influence from a student perspective
Communicates general information pertaining to SAITs programs, services, enrolment policies and procedures in an accurate, timely, and honest manner from a student lens
Works closely with staff in the Centre and delivers high-quality services and programs to support international student success and participation in all aspects of SAIT and Canadian life.
Works closely and collaborates with the Student Support and Recruitment teams.
Support engagement activities through marketing, event assistance (pre, during and post event), content creation, and other support where needed
Support in International Centre’s initiatives such as the Airport Welcome Program
Participate in webinars and in-person sessions involving current and prospective students
Travel to event venues when needed
Qualifications
This position requires a clear understanding of the international student experience as well as a demonstrated knowledge of the organizational structure of the SAIT with regards to academic programs, admission requirements and campus supports
Current SAIT International Student or alumni preferred
Ability to build community through engagement activities
Demonstrated knowledge of the organizational structure of the SAIT with regards to academic programs, admission requirements, and campus supports is considered an asset
Strong written and oral communication skills
Demonstrated ability to work and communicate with diverse groups of people
Demonstrated ability to establish and maintain cooperative working relationships with staff, colleagues, school administrators
Demonstrated ability to work in a fast-paced, high pressure, team-based environment with competing priorities and quick deadlines
Ability to speak Mandarin, Portuguese, Korean, Vietnamese or Spanish is an asset
Ability to work independently with minimal supervision
Willing to work evenings and weekends as required
