About the Role We are seeking a detail-oriented Administrative Assistant to support contract and grant administration, procurement activities, and day-to-day office operations. The successful candidate will help manage documentation, coordinate approvals, maintain records, and provide administrative support to internal teams while ensuring compliance with organizational policies and procedures.
Key Responsibilities Prepare, review, and track contracts, agreements, and related documentation. Support procurement and contract administration activities. Maintain accurate financial, statistical, and administrative records. Track information and maintain reports using Microsoft Excel. Prepare, proofread, and format documents and correspondence. Coordinate document approvals, signatures, and filing processes. Respond to inquiries from internal and external stakeholders. Monitor deadlines and maintain contract and deliverable tracking systems. Support invoicing, reporting, and compliance activities. Organize electronic and paper filing systems. Coordinate meetings, prepare agendas, and record meeting minutes. Provide general administrative and office support as required.
Mandatory Skills & Qualifications Experience providing administrative support in a professional office environment. Experience preparing and managing contracts, agreements, or procurement documentation. Strong proficiency with Microsoft 365, including Excel, Word, Outlook, and Teams. Experience maintaining records, reports, and document control systems. Strong attention to detail and organizational skills. Experience coordinating approvals, documentation, and deadlines. Excellent written and verbal communication skills. Ability to manage multiple priorities and meet deadlines.
Preferred Skills Experience supporting contract or grant administration. Experience with invoicing, accounts receivable, or financial tracking. Experience working in a government or public-sector environment. Experience with records management and document control. Experience taking meeting minutes and supporting project teams.
