About the role
** This is a temporary work term, approximately three (3) months in duration, located at our head office in Sherwood Park.**
MAXX North America Services is a leading service provider offering a full suite of Pipeline Maintenance, Pipeline Integrity, Facility Construction solutions across Canada.
Work hours: Monday to Friday, 8:00am to 4:30pm
Technical
- Reporting to the Division Manager to provide administrative support for projects.
- Assist the Project Manager in the coordination of project job setup, project schedules, resources, and project tasks to ensure project goals are met.
- Managing day-to-day activities for the Project Management team.
- Assisting with the analysis of project data and updating progress reports.
- Facilitate communication between project stakeholders and ensure that project documentation is maintained and up to date.
- Maintain the project risks and issues log, and assist the project team to resolve them promptly.
- Recognizing which areas of project development need to be addressed to maintain efficiency and cost control.
- Prepare and distribute meeting minutes, and other project-related documentation as required.
- Assist in reviewing timesheets for payroll and billing accuracy.
- Generate LEMs from approved timesheets and submit to the Client.
- Upload approved LEMs from the Client for invoicing.
- Audit and receive vendor LEMs and invoices, and follow-up as the project progresses.
- Audit assigned project resources and progress.
- Be prompted to communicate with field crews as necessary.
- Be prompted to communicate with client representatives as necessary.
- Effectively communicate with client representatives and analysts for important project deliverables.
- Assist with Quality Control programs administration and document control.
- Adhere to company policies & procedures.
- Attending internal and external project status meetings.
Health Safety & Environmental
- Personal Safety: Be responsible for your own health and safety.
- Participate in lessons-learned sessions to prevent recurrence.
- Understanding of the Maxx HSE guidelines, and reporting incidents to the HSE team.
- Report all incidents to the Manager & HSE Manager ASAP.

Financial
- Manage and distribute financial information as required and maintain records.
- Assist in auditing project deliverables to ensure cost and billing accuracy.
- Target charge-out rate to clients at 60% of total time.
- Understand compliance issues around accounts payable and receivable processes.
- Understand and follow the purchasing and expense guidelines.
Requirements:
- Business-related Diploma/Certification or equivalent field experience.
- 2-5 Years of relevant experience.
