Position Summary

Temporary Part-Time Support Staff, new position (Immediate – October 1, 2026)

The International Administrative Support Assistant serves as the first point of contact for the International Office, providing high-quality customer service to students, staff, and external stakeholders. The role requires professionalism, strong communication skills, and cross-cultural awareness to support a diverse student population.

The incumbent manages a high volume of front-line inquiries, supports office operations, and provides administrative assistance across international services. This includes responding to inquiries, triaging requests, maintaining accurate records, and assisting with admissions and student service processes.

Successful candidates will be required to conduct work on-site, Monday to Friday, 8:30 a.m. to 1:30 p.m., at the Doon campus, located at 299 Doon Valley Drive, Kitchener.

Responsibilities

Front-line customer service

Serve as the primary contact for all International Office inquiries (in person, phone, and online) Provide accurate information and guidance on admissions, applications, program availability, registration, fees, and deferrals Offer general guidance on IRCC processes and documentation (e.g., applications and forms) Triage inquiries and refer students to appropriate departments as needed Support students using online systems (e.g., OCAS/IAS portal), including account access and document submission Maintain student self-service areas and assist with document access and printing Monitor visitor flow and ensure timely, organized service delivery

Student support

Assist students experiencing challenges with applications or access to systems Provide guidance to discontinued students on return-to-study processes and refer to academic teams Support general student inquiries related to health insurance, housing, and campus services Resolve routine issues and complaints using sound judgment, tact, and professionalism Liaise with International Admission Officers, Advisors, and other departments to ensure coordinated service

Administrative and operational support

Maintain accurate student records in the Student Information System (SIS) Review documentation through the International Application Service (IAS/OCAS) Generate reports and distribute communications as requested Track key academic and administrative deadlines (e.g., admissions, fees, drop dates) Coordinate email communications and follow up on required actions Manage mail, courier shipments, and document distribution Maintain office organization, supplies, and inventory Resolve basic IT and equipment issues (e.g., printers, service tickets) Support meeting room coordination and access

Service coordination and team support

Support student ambassadors and front-line service functions during peak periods Coordinate appointment scheduling and ensure students are prepared for service appointments Maintain awareness of staff schedules to support timely referrals Provide backup support to other front-line service areas as required

Qualifications

A two-year diploma in Office Administration, Business, Communications, Social Science, Education or a related field of study is required Minimum two years of experience in an office setting, with a focus on customer service, is required, preferably working with students in a college environment Related experience working with newcomers to Canada is an asset Excellent verbal and written communication skills Strong interpersonal skills and ability to demonstrate cultural sensitivity Proven ability to work effectively in a fast-paced, high-volume environment Proficiency in Microsoft Office and experience working with databases and web-based systems Demonstrated customer service skills with tact, diplomacy, and confidentiality Strong problem-solving and decision-making abilities Ability to work independently and collaboratively within a team Empathy and understanding of the challenges faced by international students
