PRIMARY FUNCTION

Reporting to the Program Manager of the Systemic Treatment Program, the Coordinator will provide clinical and professional leadership and support within the organization to support day-to-day operations and evaluate the patient care and staffing activities of the systemic treatment program. Develop and maintain policies, practices and procedures, ensuring quality assurance and compliance to department standards. Within this role the employee is accountable for contributing to the delivery of the Kingston Health Sciences Centre strategy. As an employee, one must demonstrate an awareness of and be responsible for actively promoting and supporting patient and family centered engagement and care in all we do.

The coordinator will support and drive quality and patient experience related improvement, provide support to patient and staff safety incident follow up, and seek out new and innovative quality practices. Maintaining, facilitating and developing, Lumeo order sets and power plans will be included in this role.

The Coordinator will work collaboratively with the Program Manager and will assist with staff schedules, resources distribution, and supervision. The Coordinator will facilitate process and practice improvements, enhance quality/safety, operational efficiency, patient experience and program priorities. Initiatives will aim to reduce errors and mitigate risk of unintended adverse patient outcomes. This role will also conduct audits, quality improvement surveys, innovation, create tools / guides as needed and ensure that adherence to best practice is based on evidence including data and literature.

RESPONSIBILITIES & DUTIES INCLUDE:

  • Liaise with appropriate staff to resolve complex issues regarding patient care and the treatment preparation,

  • Facilitate communication within the inter-professional team, promote team work and engagement in problem solving.

  • Where impact would occur in other areas outside the unit makes recommendations to the Manager, and conducts follow-up, as required.

  • Act as an administrative resource in the Systemic Therapy Program to coordinate and evaluate patient care and staffing activities to ensure an efficient, effective, safe, timely and high quality level of operation.

  • Documents and monitors costs related to overtime hours, stand-by, call-back and replacement staff

  • Ensures the development and maintenance of high standards of service delivery by determining patient care requirements and develop, monitor and evaluates quality and utilization indicators in consultation with the program team.

  • To communicate decisions, events and changes to staff and encourage feedback pertaining to the process, program and centre

  • To coordinate team member participation on assigned committees or QI projects and coordinates maintenance of equipment and supplies

  • Maintain policy and procedure manuals and files and create new policies with evolving practice.

  • Monitor quality assurance compliance with all statutory and regulatory requirements, professional and service quality standard.

  • Support day-to-day operations:

  • Staffing across the systemic programs (STU, MHDU, K9)

  • Sick call coverage review

  • Weekly shift levelling to meet patient volumes (outpatient)

  • Support schedule build

  • Adhoc vacation/lieu/shift levelling requests (k9)

  • Advanced calls

  • Trial/Probation reports

  • Check in with new grads/new hires

  • Collaborate with CLS

  • Orientation plans

  • Collaborate with prescribers:

  • In the moment education and troubleshooting as required.

  • Support Monthly STP Bulletin content

  • Provide coverage to Program Manager [with assigned Manager to support]

BASIC QUALIFICATIONS:

  • Baccalaureate degree in Nursing

  • Minimum of 3–5 years of experience in an oncology setting, including direct experience within a systemic treatment program.

  • Experience supporting clinical operations, coordinating patient care activities, and addressing day-to-day operational and patient care issues in a multidisciplinary environment is required.

  • Strong clinical and operational knowledge of systemic treatment/oncology programs

  • Ability to analyze data and interpret trends to support quality improvement initiatives

  • Proven problem-solving skills in complex patient care and operational environments

  • Effective conflict resolution and interpersonal skills with multidisciplinary teams

  • Demonstrated leadership and team coordination/supervisory experience

  • Strong communication skills (verbal and written) for influencing and collaboration

  • Ability to prioritize and manage multiple competing demands in a fast-paced setting

  • Knowledge of healthcare policies, procedures, and regulatory requirements

  • Experience with staffing coordination, scheduling, and resource allocation

  • Proficiency with clinical systems, reporting tools, and quality/audit processes

  • Proven ability to attend work regularly.

  • Satisfactory criminal reference check and vulnerable sector search required.
