About the role

Office of the Registrar
CUPE, Term, Full-time
(June 2026 to May 2027)

Internal applicants from CUPE Local 3799 will be given priority consideration.

Reporting to the Director, Graduate, the Student Funding Advisor (SFA) supports internal and external funding for students within the Office of the Registrar at the University of Northern British Columbia (UNBC), with a primary focus on late-stage undergraduate and graduate students (prospective and current). The SFA works closely with the Awards and Financial Aid Advisor (AFAA), provides backup support as required, and receives assigned work from the Awards and Financial Aid Coordinator (AFAC) in support of the broader Awards and Financial Aid team.

Responsibilities

Duties include but are not limited to:

Student Funding Advising, Service, and Outreach

  • Advising students and faculty on internal and external funding, including eligibility, applications, deferrals, appeals, and disbursement;

  • Providing exceptional customer service to students, faculty, staff, academic leadership, and external partners on funding related matters;

  • Proactively encouraging eligible students to apply for awards and scholarships through webinars, workshops, information sessions, and online resources;

  • Matching students and programs with appropriate award and scholarship opportunities;

  • Collaborating with Student Recruitment and the Graduate Experience Coordinator to deliver award information sessions; and

  • Liaising with government funding agencies, service providers, UNBC faculty and staff, regional campuses and financial institutions regarding student funding matters.

Awards Administration and Adjudication

  • Reviewing award applications for completeness, eligibility, and quality;
  • Overseeing adjudication processes for internal awards, Tri-Council and external graduate scholarships, including preparation of nomination packages;
  • Overseeing adjudication processes for the Governor General’s Gold Medal and Academic Distinction awards;
  • Administering award disbursements and monitoring ongoing eligibility (working closely with Office of Graduate Administration staff to ensure records audits are completed);
  • Maintaining award recipient master lists and producing disbursement reports; and
  • Developing, maintaining, and publishing a comprehensive awards calendar with submission deadlines.

Compliance, Policy, and Governance

  • Serving as Tri-Council Scholarship Liaison Officer and maintaining current knowledge of Tri-Council policies and requirements;
  • Ensuring institutional award procedures comply with external funder and regulatory requirements;
  • Maintaining, reviewing, consulting, and updating award policies and procedures, including necessary submissions in compliance with the Senate Committee on Scholarships and Bursaries (SCSB) requirements;
  • Supporting the Senate Committee on Scholarships and Bursaries as requested by the AFAC;
  • Maintaining detailed knowledge of institutional policies, academic regulations, privacy, confidentiality, records management, and FIPPA requirements; and
  • Demonstrating respect for equity, diversity, and inclusion within the UNBC community.

Financial Administration, Reporting, and Analysis

  • Preparing internal budget forecasts to support award allocation and committed payments across fiscal years;
  • Assisting with enrolment, funding, and compliance reporting for Ministry, Tri-Council, and other governing bodies (including internal to UNBC);
  • Producing awards and financial aid reports to support business processes, enrolment management, auditing, and resource prioritization; and
  • Providing expertise in awards and financial aid data analysis and reporting.

Systems, Records, and Digital Content

  • Maintaining accurate records in UNBC student information systems;
  • Acting as a subject-matter expert in awards and financial aid systems, including Banner Financial Aid, Banner Student, and (when requested by the AFAC) StudentAid BC;
  • Supporting testing and implementation of awards and financial aid-related systems and Information Technology Services (ITS) projects;
  • Developing and maintaining webpages, forms, SharePoint sites, and other digital content related to funding; and
  • Researching, developing, reviewing, and maintaining a student-facing database of key external awards.

Training, Documentation, and Professional Development

  • Developing and maintaining funding-related documentation and training materials for staff, faculty, and students;
  • Training Enrolment Services, Graduate Admissions, faculty, staff, and students on relevant procedures; and
  • Attending external award information sessions and professional development activities to maintain current knowledge.

Liaison and Cross-Functional Collaboration

  • Liaising with government agencies, financial institutions, UNBC faculty and staff, and regional campuses on funding matters;
  • Liaising with the Office of Research & Innovation on the establishment of new awards, revisions to existing awards, and donor relations;
  • Working collaboratively with other UNBC areas, such as academic faculties and departments, Office of Research & Innovation, Student Success, Enrolment Management & Strategy, Access Resource Centre, etc., to ensure successful funding, awards, and financial aid processes; and
  • Providing backup support for Awards and Financial Aid functions as assigned by the AFAC.

Qualifications

The successful candidate will possess the following:

An undergraduate degree is required. In addition, three to five years of experience in an Office of the Registrar or similar, with specific experience in graduate student administration is required. Experience with graduate admissions (including GPA calculation) and reporting are required. Experience with budget administration is preferred. A strong understanding of student awards and financial aid in a post-secondary environment is an asset. An equivalent combination of education and experience will be considered.

Knowledge, Skills and Abilities

  • Exceptional customer service and interpersonal skills;
  • Strong administrative, organizational, planning, and multitasking abilities;
  • Excellent analytical, problem-solving, and decision-making skills;
  • Exceptional written and verbal communication skills, including the ability to convey complex information to a lay audience;
  • Experience retrieving, analyzing, and presenting data and reports;
  • Experience interpreting and administering student administration policies and procedures;
  • Demonstrated experience in business process analysis and improvement;
  • Proven ability to develop documentation and deliver training;
  • Demonstrated project management skills and ability to manage multiple concurrent initiatives;
  • Advanced proficiency with Microsoft Office, Teams, SharePoint, CRM tools, reporting tools, student information systems (Banner), calendaring tools, and web content management systems;
  • Training and applied experience with FIPPA and privacy requirements in a post-secondary setting; and
  • Training in equity, diversity, and inclusion, preferably in a post-secondary environment.

Excellent time management and organizational skills are necessary, with the ability to solve problems, plan, prioritize and be self-direct with a high degree of accuracy. It is critical that this role can work independently and demonstrate initiative, as well as have the ability to work collaboratively with Faculty, staff, and students with exceptional interpersonal skills. This position requires a high level of professionalism and ability to network, interact with, and provide direction to a wide range of constituents, often with limited time and flexibility.

Salary

This position has been classified at a Grade 11. The annual salary range for this position is $77,768.60 to $80,990.00 and the normal starting salary will be $77,768.60.

Normal hours of work will be 8:30am – 4:30pm, Monday through Friday.
