The Opportunity
The Banff Centre Mountain Film and Book Festival is one of the flagship programs of Banff Centre. As one of the world’s pre-eminent mountain festivals – and a co-founder of the International Alliance for Mountain Film — the Festival began almost 50 years ago in the small Rocky Mountain town of Banff, Alberta. What began as a one-day festival of climbing films has now blossomed into a nine-day event in Banff that explores and celebrates what Mountain Culture means to people around the world. Events include film screenings; film, book, and photography competitions; a filmmaking workshop and mountain marketplace.
The Mountain Culture department at Banff Centre is looking for a Festival Coordinator to assist in the coordination and implementation of the Banff Centre Mountain Film and Book Festival. Reliable, self-motivated, and highly organized while remaining flexible to changing priorities, the Festival Coordinator demonstrates strong written and oral communication abilities and excellent interpersonal skills when dealing with all stakeholders, partners, and guests.
Roles and Responsibilities
Reporting to the Festival Manager, below are some key accountabilities:
- Coordinates and implements festival program needs including guest registration lists, accommodation, and assistance with guest travel, social event details, floor plans and signage.
- Creates, revises, and distributes guest welcome packages, and ensures information is accurate and up-to-date at all times.
- Coordinates on-site event logistics and works closely with BCMFBF staff and other Banff Centre departments including Reservations, Conference Services, Food & Beverage and Program Support.
- Oversees the Festival Guest Registration, provides day-to-day guidance, support, and direction for volunteers, and provides interdepartmental support for questions and needs.
- Oversees the Festival zero-waste initiatives.
- Supports BCMFBF managers and coordinators with local sponsors including solicitation of in-kind sponsorship; delivering obligation packages, providing regular correspondence, delivering promotional materials and providing follow-up to local in-kind sponsor donations.
- Assists in follow-up including thank-you card distribution.
- Assists with the coordination and implementation of other BCMFBF programs and initiatives as required.
- As part of the festival team, troubleshoots for guests, media, sponsors, volunteers and exhibitors as necessary.
- The position assists the Director, Festival & Tour, and Festival Manager in all areas of festival administration and coordination.
Qualifications and Educational Requirements
- Completion of a university degree within a related discipline
- 3+ years’ experience working on an administrative/events coordination capacity
- Strong financial, budgetary and reporting skills
- Strong organizational and time management skills
- Strong computer skills including Microsoft Office and databases. Web and social media experience required
- Flexibility and adaptability
- Strong interpersonal skills; ability to seek collaborative solutions, to persuade others, lead by example and communicate effectively while working cohesively in a dynamic team
- High level of commitment to customer service
- Ability to work effectively under pressure, with shifting priorities
- Ability to manage multiple projects at once with appropriate attention to detail
- Demonstrated creative thinker within an artistic environment where flexible solutions are often required.
- High level of reliability and motivation
- Knowledge of Banff Centre, the BCMFBF and the outdoor industry is an asset.
Special Requirements
- Due to the nature of the Festival programming, this position may be required to work an irregular schedule including evenings, holidays, and weekends.
Employment Terms and Benefits
- In accordance with CUPE 4318, this is a unionized, hourly support staff position, subject to a 500 hour probationary period.
- This position pays $22.08 to $23.19 per hour working up to 40 hours per week on a rotating schedule.
- This is a term position working from June - November 2026
- This position is part time from June - September and increases to full-time in October through November.
