Your Opportunity Under the general supervision of the Manager, Financial Aid and Awards, the Future Skills Grant (FSG) Student Support Assistant provides front-line and administrative support to prospective and current students enrolled in FSG-approved short-term training programs at Okanagan College. This role focuses on assisting with application, registration, and funding processes specific to the FSG program. The position works collaboratively with internal departments and external partners to support smooth delivery of the FSG program and high-quality student experience.

Functions and Duties Acts as the first point of contact for inquiries related to FSG-approved programs and funding, providing accurate information to prospective and current students by phone, email, and in person. Responds promptly and professionally to questions about FSG program offerings, application and registration processes, documentation requirements, and funding procedures. Refers students to appropriate departments (e.g., Admissions, Financial Aid, Registration, Continuing Studies) or resources when support falls outside the scope of the FSG program. Assists students in navigating the admission and registration processes for FSG-eligible programs, ensuring they understand and follow College policies and procedures. Verifies that applicants meet FSG program eligibility requirements and ensures student documentation is complete before submitting to appropriate departments. Enters and maintains accurate student records in institutional systems (e.g., Banner or other databases) as well as external systems (e.g., FSG online portal), including program registration and payment information for FSG-related activities. Processes and enters payments to student accounts for eligible FSG participants according to program guidelines and internal financial procedures. Communicates key dates, status updates, and program information to FSG applicants and registered students. Assists in preparing reports and tracking data related to FSG participation, enrolment trends, and payment records for internal use and ministry reporting. Coordinates with internal departments such as Financial Aid, Admissions, Registration, and Finance to support student progress and accurate processing of FSG-related activity. Responds to inquiries submitted through OC’s online platforms, including service request forms and email communication tools. Maintains digital and paper records, as required, in compliance with institutional and FSG funding requirements. Participates in department and inter-departmental meetings to ensure alignment on FSG processes and protocols. Monitors the FSG portal daily for student approvals and status changes. Updates the FSG portal with required information, including reconciliation of withdrawals and completions. Works with College Relations and other departments to update information on EPBC, the College website, and other communications platforms. Performs other related duties in support of the Future Skills Grant program as assigned.

Education and Experience Graduation from a two year post-secondary diploma in Office Administration or a related area. A minimum of three years’ experience in office administration required; previous experience in post-secondary admissions or registration preferred.
