About the role
Position Summary The Workplace Services Coordinator is responsible for the day-to-day operation of the office, ensuring employees, visitors, and leaders have a productive and positive workplace experience. This role oversees office services, facilities coordination, events, meeting support, vendor management, inventory, and general workplace operations. Key Responsibilities Workplace Operations · Maintain a clean, organized, and fully functional office environment. · Manage office supplies, kitchen inventory, refreshments, and shared resources as needed. · Coordinate with building management, Workplace Services, technology and facilities teams to resolve workplace issues. · Monitor office conditions and escalate maintenance concerns as required. Meetings, Events & Employee Engagement · Support the planning and execution of meetings, town halls, leadership sessions, and employee events. · Support with coordinate room bookings, catering, materials, seating, and event logistics. · Assist Internal Communications, HR, and business leaders with workplace engagement initiatives. Visitor & Employee Support · Serve as the primary point of contact for workplace-related questions and requests. · Welcome visitors and coordinate access, hospitality, and meeting arrangements. · Support onboarding activities, including access card administration and new hire setup. Administrative & Operational Support · Manage incoming mail, courier shipments, package deliveries, and print requests. · Maintain workplace systems, including seating management tools. · Distribute office and building communications as needed. · Support special projects and other administrative duties. Vendor, Safety & Compliance · Coordinate vendors, suppliers, catering partners, and service providers. · Track inventory levels and place orders as required. · Support workplace health, safety, and emergency procedures. Qualifications · 2-5 years of experience in workplace services, office administration, facilities coordination, hospitality, or a related field. · Strong organizational and time management skills. · Excellent customer service and communication skills. · Ability to manage multiple priorities and work independently. · Strong attention to detail and problem-solving capabilities. · Proficiency with Microsoft Office applications. · Experience coordinating events, meetings, or workplace operations is an asset.
