About the role

Position Summary

Reporting to the Manager of Human Resources and Administration, the Summer Student Receptionist / Administrative Assistant provides front-line reception and administrative support to Community Living Dryden-Sioux Lookout (CLDSL). This position plays a key role in creating a positive and welcoming first point of contact for the public, people supported, and staff.

The incumbent will support daily office operations through reception duties, administrative coordination, and general office support tasks. This role also assists with document management, supply coordination, and internal processes.

This position complies with all CLDSL Policies and Procedures and aligns with the Agency’s Strategic Direction, including the Mission, Vision, and Values. The incumbent is expected to maintain a safe, respectful, and inclusive work environment in accordance with the Occupational Health and Safety Act and Ministry of Children, Community and Social Services (MCCSS) guidelines.

Key Responsibilities

•    Serve as the first point of contact by greeting visitors, staff, and people supported in a welcoming, respectful, and professional manner

•    Answer, screen, and direct incoming phone calls and inquiries

•    Respond to general inquiries and provide accurate information or appropriate referrals

•    Monitor and maintain reception and common office areas to ensure a clean, organized, and welcoming environment

•    Provide general administrative assistance including filing, scanning, copying, data entry, and document preparation

•    Upload, organize, and maintain documents within SharePoint and Nucleus Labs systems

•    Assist with maintaining accurate records and files, ensuring confidentiality and secure handling of information

•    Support scheduling, meeting preparation, and distribution of materials as required

•    Assist with preparing internal communications and correspondence

•    Order and maintain office supplies and inventory; ensure timely replenishment

•    Compile, organize, and distribute Sysco orders as required

•    Support mail processing, courier coordination, and internal distribution of documents

•    Provide general support to the Administration team and other departments as needed

•    Perform other duties consistent with the role, as assigned

Qualifications

•    Currently enrolled in, or recently completed, secondary or post-secondary education (Office Administration, Business, or related field is an asset)

•    Previous customer service, reception, or administrative experience is considered an asset

•    Proficiency in Microsoft Office applications (Word, Outlook, Excel); familiarity with SharePoint is an asset

•    Strong communication and interpersonal skills; demonstrated ability to interact respectfully with diverse individuals

•    Excellent organizational skills with attention to detail and accuracy

•    Ability to manage multiple tasks, prioritize effectively, and work both independently and as part of a team

•    Demonstrated professionalism, reliability, and commitment to confidentiality

Requirements

•    Valid First Aid/CPR certification (or willingness to obtain)

•    Valid driver’s license and access to a vehicle is considered an asset

Working Conditions

•    Office environment with regular computer and desk-based work

•    Frequent interaction with the public, staff, and people supported

•    Physical demands up to 10 pounds, with occasional lifting up to 25 pounds

•    Temporary position with defined term; scheduled hours are 24 hours per week, 9:00 a.m. – 12:00 p.m. and 1:00 p.m. – 4:00 p.m., Monday to Thursday

•    Compensation is $20.00 per hour plus vacation pay, in accordance with applicable employment standards
