Job Details:
Position Title: Associate Director, Operations, Faculty of Liberal Arts and Sciences (FLAS)
Status: FT Admin Temp Contract
Hours: 37.5 hours per week
Faculty/Department: Faculty of Liberal Arts and Sciences
Campus/Location: North and Lakeshore (This is a hybrid position – the successful applicant must be comfortable working on campus at minimum four (4) days per week.)
Minimum Starting Salary: $105,342; starting salaries are determined based on qualifications and years of related experience.
Duration of Need: August 2026 to October 2027

About the Associate Director, Operations (FLAS) Role:
The Associate Director, Operations role is responsible for strategically managing the effective implementation and supervision of the operations within the Faculty. Under the leadership of the Senior Dean, the role manages all financial operations in the faculty/department and is responsible for preparing the financial forecast and operating budget. The role provides operational expertise to mitigate risk and ensure optimal fiscal outcomes for all operational activities and projects. The role is responsible to develop and implement analytical tools and reports to identify projects and operational delivery risks and opportunities.
The Associate Director, Operations is key in promoting and maintaining a high level of service to customers/clients, maintaining excellent internal and external communications and ensuring that the Faculty operates smoothly and effectively. The role is also responsible for human resources activities (hiring, training, health & safety compliance, supervision and management of key staff), as well as developing, recommending and implementing departmental protocol, policies and procedures. The Associate Director, Operations is responsible for negotiating and overseeing the implementation of operations-related contracts in accordance with Humber procurement guidelines, and is responsible for the entire (end-to-end) process involving inventory management, warehousing and logistics, and health and safety where applicable.
Key Responsibilities:
- Planning/Process Improvement
- Supports the Senior Dean in the development and implementation of Faculty operational business plan that is aligned with Humber’s Strategic and Academic Plans, and encourages positive working relationships between Professors/Instructors, Staff and Students
- Develops and designs process flows with a context towards operational efficiency, based on a review of the business environment, optimizing and addressing challenges as they arise
- Recommends and leads the implementation of process improvements to increase efficiency and effectiveness of the Faculty
- Supports the Senior Dean in development of the Faculty-specific capital development needs and Capital Asset Renewal.
- Ensures that all required Faculty-specific procedures and protocols are developed and implemented
- In collaboration with relevant internal and external stakeholders, ensures that appropriate facilities, equipment, and/or resources are available for Faculty programming and activities
- In consultation with the Senior Dean, identifies, plans and manages the design and redesign of scheduling, business support and work configuration processes or others as needed to structure and improve operational efficiency
- Develops and prepares budget forecasts for Faculty business units
- Manages the operations budget; provides projections and cost analysis related to programming
- In collaboration with the Leadership team, identifies financial needs and resources in relation to program activity and initiatives
- In collaboration with the Leadership team, monitors resource requirements to ensure appropriate resource allocation
- Leads projects and initiatives where appropriate which support key strategies within the Faculty
- Monitoring Day-to-Day Operations
- Provides oversight on all Faculty-specific procedures and protocols
- Establishes common standards of practices to provide professional leadership of all Faculty business and support functions
- In collaboration with Program Planning Development and Renewal or other stakeholders, creates, monitors and revises (as necessary) standardized annual processes such as preparing for annual program review, support with PEQAB, Ministry of Colleges, Universities, Research Excellence and Security (MCURES) requirements, program advisory committee meetings, Dean’s advisory committee
- Monitors the activity of all staff in order to ensure Health and Safety protocols are adhered to
- Monitors costs and makes budgetary and resource adjustments as required to ensure that financial targets are met
- Monitors operating expenses to determine if work processes or resource allocations need to be modified
- Oversees the development of accurate reports, written documents, statistics and other projects regarding departmental financial, operations, faculty and staff data, surveys such as SFQs, KPIs, honours/probation letters
- Responsible for the coordination of office coverage and ensures front line staff are providing consistent and accurate customer service
- Oversees facilities operations maintenance and cleaning contracts for specialized spaces within the Faculty
- Purchasing/Procurement/Vendor Relations
- In collaboration with Purchasing, sources and manages vendor contracts associated with the effective operation of the Faculty
- Directs and allocates resources for effective and efficient supply and inventory of consumable and non-consumable items
- Oversees the entire process involving inventory management
- Human Resource Management
- Ensures a high level of service performance through effective recruitment, selection, training and motivation of staff
- Plans, develops and monitors ongoing professional development for staff
- Ensures staff are following College processes and protocols
- In consultation with Human Resources, initiates the resolution of non-complex staff disputes utilizing Collective Agreements, College policies and practices where appropriate
- Conducts performance evaluations and addresses performance issues where required
- In collaboration with Human Resources, leads the creation of, and monitors and delivers onboarding processes for all new staff, including creation and maintenance of standard processes; conducts annual reviews of these processes
- Fosters an office work environment that encourages creativity, community and collaboration amongst school staff
- Communications
- Develops and disseminates appropriate communications and reports to both the internal and external community regarding Faculty activities
- Represents Faculty on internal and external committees
- Fulfills a public relations role for the Faculty, interfacing with all levels of the organization and the public or business community in a professional, confidential and sensitive fashion (e.g. Open House, Awards Night, Convocation)
- Oversees website in order to ensure it accurately reflects Faculty operations, as well as liaises with College IT professionals in regards to the content on the Faculty video display
- Oversees social media marketing and ties to Strategic Enrolment Management/Marketing and Communication goals of the college

Education
- The successful candidate will have a minimum of a 4-year degree. Master’s degree is preferred.
Experience/Skills
- Minimum of 7 years’ experience in a related field
- Thorough knowledge of Human Rights legislation and AODA
- Highly developed oral and written communication skills
- Superior data and analytical skills
- Superior budget and financial experience
- Superior organizational skills and ability to work under pressure with little supervision
- Thorough understanding of procurement and purchasing practices
- Information Technology knowledge and skills: MS Word, Excel, and Powerpoint skills are required; web design and social media experience are strongly preferred
