Program Overview – Project Management Office, Central Services This position supports the Marketing & Communications function by coordinating day to day marketing activities, managing intake and workflow processes, and supporting community engagement initiatives. The incumbent works collaboratively with internal teams and external partners to ensure timely, accurate, and consistent communications. The role performs tasks of a confidential nature, including information related to organizational activities, internal stakeholders, and community partners.Strong written and oral communication skills in English, attention to detail, and the ability to manage multiple priorities in a fast paced environment are required. This position is responsible for supporting the planning, coordination, and execution of marketing initiatives and community engagement activities that promote organizational programs, services, and brand awareness, and build strong relationships in the communities in which WoodGreen operates. The role contributes to strengthening relationships with community partners, stakeholders, and community members through coordinated outreach, communications, and engagement activities.
What You Will Do Coordinates marketing and community engagement activities in support of organizational programs, campaigns, and strategic priorities. Assists in the development, distribution, and tracking of marketing materials across digital, print, and community based channels. Supports social media and digital engagement activities, including content scheduling, monitoring, and basic reporting. Coordinates logistics for community events, outreach activities, and promotional initiatives, including booking spaces, preparing materials, and liaising with vendors and partners. Maintains marketing calendars, contact lists, intake trackers, and community partnership databases. Provides administrative support for marketing projects, including document preparation, data entry, proofreading, and file management. Supports the overall intake process for Marketing & Communications, including monitoring and triaging incoming requests, delegating activities to appropriate team members, supporting follow up actions, coordinating timelines and approvals, and liaising back with internal stakeholders to ensure clear communication and timely delivery. Assists with tracking engagement metrics, compiling reports, and maintaining records related to campaigns and community activities. Supports in person outreach and community engagement activities, including attending community events and meetings, participating in outreach initiatives such as door knocking, and representing the organization in the community to promote programs, services, and engagement opportunities. Liaises with vendors to develop copy, content, design, and other assets as identified. Supports media relations, monitoring media inbox, liaising with reporters and business as required, coordinating responses and pitch content and organizing media lists. Performs other related duties as assigned from time to time.
What You Bring to the Team College diploma or university degree in Marketing, Communications, Public Relations, or a related field, or an equivalent combination of education and experience. One to two years of related experience in marketing, communications, community engagement, or a similar coordination role. Strong written and verbal communication skills.
What Will Set You Apart Well developed organizational and administrative skills with the ability to manage multiple priorities and deadlines. Computer literacy in Microsoft Word, Excel, and PowerPoint; familiarity with digital tools, social media platforms, and content management systems is an asset. Strong interpersonal skills and the ability to work collaboratively with diverse internal and external stakeholders. Attention to detail and a high level of accuracy.
