We are currently seeking an Administrative Assistant to join our Administration team based in the Firm's Moncton, NB office.Type of Position: Full-Time, Contract (ending December 31, 2026)Close Date: June 10, 2026The Opportunity:Reporting to the Acting Manager, Administrative Services, the Firm's Administrative Assistant plays a key role in supporting the Administrative and Legal Assistant teams. With a strong client service orientation, the successful candidate assists support staff in delivering services and programs that contribute to achieving Stewart McKelvey's "Service First" objectives.The Firm's Administrative Assistants provide comprehensive administrative support by assisting Legal Assistants with Aderant Expert tasks, including conflict searches, new client matter intake, and file closures. The successful candidate works closely with lawyers and Legal Assistants to complete a variety of administrative duties.The Administrative Assistant is responsible for maintaining organized client files through scanning, database management, and coordinating file transfers to and from off-site storage, while overseeing the ongoing Inactive Matters project. The role also includes handling photocopying, scanning, and document binding as needed, as well as managing office supply inventory and placing orders when necessary. Additional responsibilities include auditing and maintaining will safes, client document storage rooms, and updating library materials.The Administrative Assistant provides support to the Firm's financial operations through general administrative assistance and acts as the primary backup for reception duties, including front desk coverage, while assisting with planning special and fundraising events.Finally, the successful candidate coordinates with appropriate personnel to address premises and equipment issues in the absence of the Acting Manager, Administrative Services.Related post-secondary education, experience in a professional services environment, strong mathematical skills, and an aptitude for working with numbers are considered assets for this position.Our Focus on Diversity, Equity & Inclusion: At Stewart McKelvey, we are committed to a workplace where you truly belong.
